Why recruiting & staffing teams use xMap Flows

Recruiters win by calling first. Job postings show who is hiring today, but finding them by hand means hours on job boards. xMap Flows reads live job postings by keyword and place, keeps one per company (or every posting for agencies), checks the company with Apollo, has xMap AI judge the mandate from the full description and drafts a personal note. Staffing agencies also use it to find new stores and warehouses that will need people, and to map where candidates live.

Searching job boards by hand

A morning flow lists the companies that posted roles you fill, scored and ready to call.

Calling the wrong person

Apollo finds the hiring manager or head of people at each company, with work email when available.

Weak first messages

xMap AI reads the full job description and writes a note that speaks to the actual mandate.

Big hiring waves missed

New warehouses, stores and hotels need staff. Nearby places and live listings find them as they open.

How a flow works for recruiting & staffing

Every flow reads left to right: something starts it (a schedule, a message, an app event or new rows), it looks at an area, gathers data, lets xMap AI make sense of it, applies your rules, and sends the result where your team works. These are the blocks recruiting & staffing templates use most.

  1. 1

    Where

Choose the area: countries, cities, a radius around your own sites, or shapes you draw.

    Area of interest

  2. 2

    Data

Bring in what is there and what is changing.

Job postings · Map business scan · Nearby places · Demographics · News

  3. 3

    AI and your rules

Score, rank, keep only what is new or fits, and match with your own data.

xMap LLM · AI agent · Place classifier · Remove duplicates · Only new

  4. 4

    Where results go

Send each result where your team works.

    Email · Show on a map · Reply · Outreach · Make a report

Stories: what teams build

One-minute narrated stories of a flow at work. The scenarios and figures are illustrative, not customer results.

Healthcare staffing

First call to every aged-care home short of nurses

The challenge. Ruby leads the healthcare desk at one of Australia’s largest staffing agencies, in Sydney. She places nurses in aged-care homes. Every morning her team trawls job sites for homes that need nurses. By the time they call, the ad is a week old and another agency has filled it. And when they do get through, it is to reception, not the director of nursing.

The flow. With xMap Flows, Ruby built Beacon. Every weekday at half past six, across greater Sydney, Beacon finds every aged-care home that posted a nursing job overnight, skips the homes already on the books, puts the fifteen hardest roles to fill first, finds the director of nursing at each, and writes to each one, once Ruby approves the note.

The result. At seven, Beacon has eighteen homes that posted overnight. The fifteen hardest to fill each get a note to the director of nursing, with three nurses ready to start. By lunch, six directors have replied, and four nurses are placed by Friday. By the time rivals read the ad, Ruby’s note is already in the inbox.

Industrial staffing

A Monday brief that beats the factory’s call

The challenge. Luis runs the Guadalajara branch of a national staffing agency. He supplies operators and pickers to factories and warehouses. On Monday mornings, plants call wanting fifty workers by Wednesday. He hears about new plants on the radio, and about hiring drives when a rival’s bus is already at the gate. His Monday brief to recruiters is a guess.

The flow. With xMap Flows, Luis built Roster. Every Monday at six, around the El Salto industrial corridor, Roster finds the plants hiring operators and pickers, reads the Jalisco business news for plants about to open, writes the week’s brief, and emails it to every recruiter.

The result. This Monday the brief names fourteen plants hiring and two new ones opening in spring. The recruiters spend the morning calling candidates, not guessing. When a plant calls for fifty pickers, Luis already has thirty waiting. Luis’s Monday brief used to be a guess. Now it is a head start.

Retail HR

The store closed. Its people walked into new jobs.

The challenge. Oliver is HR director at a large department-store chain in London. In six weeks its Croydon store closes, and forty people need new jobs. He wants to place every one of them, not just hand out a leaflet. His team searches job sites at night, and the jobs they find are an hour away, or already gone. Most staff will only start looking after the doors close.

The flow. With xMap Flows, Oliver built Bridge. Every Monday until the store closes, around Croydon, Bridge finds the shop and warehouse jobs within ten kilometres, finds the hiring manager at each, matches each job to the colleagues who fit it, and emails the whole store the week’s list.

The result. Every Monday, all forty get a list of jobs near home, each with a named hiring manager. Oliver’s team makes the introductions. When the doors close, thirty-one have new jobs, and nine more have interviews booked. The store still closed. Thirty-one of its people walked straight into new jobs.

Hospitality recruitment

Hiring for new hotels before they open

The challenge. Rania is a freelance recruiter in Amman. She finds chefs, waiters and front-desk staff for hotels and restaurants. The best time to call a new hotel is two months before it opens, while it is still hiring. Rania hears about openings from friends, usually the week of the ribbon cutting. By then, a big agency has staffed the whole place.

The flow. With xMap Flows, Rania built Herald. Every Sunday morning, Herald reads the business news for hotels and restaurants about to open in Amman, keeps the ones it has not seen, works out the roles each will need and when it opens, puts the soonest first, and books Rania a call two months before each opening.

The result. This Sunday, Herald finds five openings, including a boutique hotel in Jabal Amman that will need forty staff. The calls are already in her calendar, each two months before opening day. Rania staffs that whole kitchen before any agency hears of it. Rania used to arrive at the ribbon cutting. Now she arrives at the hiring.

Hotel HR

Hearing about a rival’s pay rise the week it happens

The challenge. Yuki is the HR manager at one of Kyoto’s largest hotel groups. She has six hundred staff across nine hotels. Housekeepers leave for a few hundred yen more an hour, and she finds out at the exit interview. Rival hotels change their pay quietly, on their own careers pages. By the time HR reviews pay each spring, twenty people have gone.

The flow. With xMap Flows, Yuki built Prism. Every Monday at eight, Prism reads every hotel job posted in Kyoto, watches eight rivals’ careers pages for new roles, compares the pay offered with her own, keeps the roles where rivals pay more, and tells the hotel managers.

The result. This Monday, Prism finds three rivals raising housekeeping pay near Kyoto Station, by up to two hundred yen an hour. Yuki matches it at two hotels the same week. This season only four housekeepers leave, down from twenty. Yuki used to learn about pay at exit interviews. Now she learns it on Monday.

Machine tools

A factory hiring is a factory ready to buy

The challenge. Marek sells used machine tools in Krakow, on his own. Lathes, mills and presses, mostly to factories in southern Poland. A factory buys a machine about once in five years, and nobody tells him when. Marek cold-calls from an old list of three hundred plants. Nine in ten say no. When one is really ready to buy, a bigger dealer usually got there first.

The flow. With xMap Flows, Marek built Radar. Every Monday at seven, Radar finds the factories around Krakow hiring engineers and machine operators, looks each one up on the map, skips the ones already in his customer list, reads each job ad for the machines they run, keeps the best ten, and emails him the week’s calls.

The result. This Monday, Radar finds twenty-three factories hiring. One in Wieliczka wants three machine operators for a new line. Marek calls before nine, and on Friday he sells them two used lathes. A job ad is a factory saying it is growing. Radar makes sure Marek hears it.

Questions

Where does the job data come from?

The Job postings block reads live job postings by keyword and location, with the title, company, description and posting date, and can keep one posting per company or every posting.

Can xMap Flows find the hiring manager?

Yes, through your own Apollo account: people by job title at each hiring company, with their LinkedIn and work email when Apollo has them.

Is it useful for executive search?

Yes. Search senior titles, keep every posting, let xMap AI judge each mandate from the full text, and send the shortlist to a partner for approval before any message goes out.

Which data is live?

Live: xMap's places database (300M+ places of more than 5,000 kinds), live business listings from online maps, job postings, road incidents, ships (AIS), satellite pictures, weather forecasts, news from the feeds and pages you choose, travel-time areas and routes on the road network, and residents by age (Demographics, in about 100 countries), live road speeds and congestion (Traffic Flow; it does not count cars), footfall around each place (Mobility Footfall, in most of the world, about 10 days behind), plus regional datasets where xMap offers them, such as cars counted on the roads of the United Arab Emirates (Road traffic history). Catchment returns sample figures for now, and every result made from it says so.

Do I need to write code?

No. A flow is built from blocks on a canvas, from a ready-made template, or by describing it to Ask xMap in a sentence; Ask xMap builds it, tests it and fixes what fails. Developers can also use the API and the MCP server.

How fast can a recruiting & staffing team start?

Hire one of the AI employees above: answer two questions (the city and the kind of place), or write one sentence to make it yours ("for dental clinics in Lyon, to WhatsApp every Monday"), and it runs in your own account with results you can see. A new account can also type its website and meet three AI employees already tried in its city. Or try the home page first: no account needed.

Can an agency or consultancy offer this to its clients?

Yes. Your logo and colour on the app, emails and reports, emails from your own domain, the app on your own address, and a read-only page for each client with its results, map and weekly report. See the Partners page.
