How pharma reps plan visits to newly opened practices and pharmacies

New clinics and pharmacies are open to a first visit before habits form. A weekly list, shared by territory and put in route order, gets reps there first.

Pharma and medical-device reps plan visits to new practices by getting, each week, the clinics and pharmacies that recently opened in their territory, already put in the order they can be visited in a day. A newly opened practice has not settled on its suppliers, samples or preferred products yet, so the first rep through the door has an easier conversation than the tenth. The list does the finding; the rep keeps the relationship.

This article is for field sales managers and representatives in pharmaceuticals, medical devices, diagnostics, dental supply and laboratory services, and for the sales operations people who build their call plans. It covers where the list comes from, how to read an opening date, a worked week, the mistakes that waste a rep's day, and an AI employee that delivers the plan every Monday.

Where the list of new practices comes from

xMap's places database records, for many places, the month they opened. The Nearby places block can search a territory for medical clinics, dental clinics, pharmacies, physiotherapists or any of more than 5,000 types, and its Opened setting keeps only those that opened in the last 6 or 12 months. Each comes with its address, position, phone and website when known, its rating and whether it belongs to a chain.

How many there are depends heavily on the city. xMap's places database lists 329 medical clinics within 10 km of the centre of Toronto; of the 328 with an opening date, 37 opened in the twelve months before November 2026. Sydney lists 297, and of the 293 with a date only 1 opened in that year. London lists 1,377; of the 461 nearest the centre with a date, 2 did.

For pharmacies the same circle around Toronto holds 519, and 14 of the 438 nearest the centre opened in the last year. The lesson for a sales manager: a weekly list of new practices is a few names, not dozens, so each one deserves a proper visit.

How to read an opening date

  • It is the month the place appeared as open, not a grand opening. A practice may have seen patients for a few weeks before. A visit within a month of the date is still early.
  • A move can look like an opening. A clinic that moved down the street may appear as new at its new address. Your CRM knows the doctor; check before treating it as a new account.
  • Not every place has a date. Places without one are left out when the Opened setting is used. The Only new block catches those as soon as they first appear in the flow's results.
  • Chains and independents behave differently. A new branch of a chain often buys centrally. An independent decides at the front desk. The chain field tells them apart.

A worked week

A made-up example: a dental supply company has three reps covering Toronto. Every Monday at 7 am they want the dental clinics and orthodontists that opened in the last six months, which they have not been sent before, split fairly between the three, each in route order from the company's office.

  1. Nearby places searches the city for dental clinics and orthodontists, opened in the last 6 months, open now.
  2. Only new removes those already sent in earlier weeks.
  3. Match with my table drops practices already in the customer list kept in My data.
  4. Split by territory shares the rest between the three reps in compact areas of about the same size.
  5. Route planner orders each rep's share from the office and gives the minutes between stops and a directions link.
  6. Email sends the routes to the team: each stop says whose route it is on and its place in it.

Say the run finds seven new practices: two are already customers, five are not. One rep gets two stops near the lake, another three in the north, the third none this week and a note saying so. That is normal; new openings are lumpy, so mix them into each rep's existing call plan rather than building a day around them.

Mistakes to avoid

  • Sending the same new practice for months. Without Only new, a clinic that opened in May shows up every week until November. Reps stop reading the list.
  • Ignoring the customer list. Nothing loses a rep's trust faster than a "new lead" who has bought from them for years.
  • Splitting by postcode lists drawn years ago. Fixed postcode territories leave one rep with ten new practices and another with none. A split that follows the week's points keeps loads even, or keep your territories and route within each.
  • Treating the list as the call plan. It is a few priority stops a week. Regular accounts still need their visits.

Doing it with an AI employee

The steps above, started by a weekly Schedule and an Area of interest for the region, make one AI employee for the whole sales team. Each Monday the team's inbox holds the new practices, rep by rep and in visiting order, with the address, phone, rating, minutes from the stop before and a short opener. A map shows every stop and route. For a team that wants to look before reps are sent, an Approval block holds the routes until a person says yes.

Questions

How early can a new practice be found?

Usually once it appears on online maps as open, which is often around the time it opens to patients. The opening month is recorded when known.

Can the list include the doctor's name?

The places database gives the practice, its phone and website. Names of individual doctors come from your own records or your CRM, not from this list.

What if a territory has no new practices this week?

The rep gets a short note saying so. Over a quarter, new openings even out; week to week they do not.

Can reps get the route on their phone instead of by email?

Yes. Swap the Email block for Slack or WhatsApp Business, or both.
