Prospecting for wholesale and distribution: finding trade buyers and partners

A wholesaler sells to businesses that resell or use its goods. How to find those trade buyers, and the distributors that carry your line, place by place.

xMap Flows team · · 4 min read

Wholesale prospecting means finding businesses that buy to resell or to use in their own work, not end consumers. There are two lists to build: trade buyers (shops, cafes, hotels, workshops that stock or use your goods) and distribution partners (wholesalers and distributors who could carry your line into places you cannot reach). Both start from the map: the kinds of place that buy what you sell, in the area your vans or partners cover, with independents and new openings first.

This is for wholesalers, producers selling to the trade, importers and brands looking for distributors in a new market. It covers the two lists, how to read each, a made-up example in Mexico City, the usual mistakes and the AI employee that keeps both lists fresh.

A way to think about the two jobs, not a measured comparison.

Finding trade buyers

Nearby places searches xMap's places database by type of place: bakeries, cafes, hotels, grocery stores, hardware stores and thousands more types. For a wholesaler, three settings matter most: the types that use or resell your goods, only independents (a chain branch rarely chooses its own suppliers), and only places with a phone or website, so every line can be called.

Distance matters more in wholesale than in most sales. A buyer twenty minutes off your route costs more to serve than one next to three existing customers. Use Travel area to keep only places within a set drive of your depot, or Find nearest to tag each buyer with its nearest depot.

Finding distribution partners

Partners are fewer and matter more, so look wider and read more carefully. Nearby places has types such as wholesaler, distribution centre and cash-and-carry wholesaler, and many trade-specific ones (beverage distributor, construction material wholesaler, cosmetics wholesaler). Search the main cities of the market you want to enter, then have xMap LLM judge each one as a partner from what the listing shows: what it sells, its rating, its website, how established it looks.

Job postings adds a growth signal: a distributor advertising for warehouse staff or drivers is expanding and may have room for new lines. If you use Apollo, the Apollo block names the managing director or purchasing manager at each one.

A worked example

A made-up case with invented numbers: a coffee roaster in Mexico City wants more cafe and hotel customers in the city, and distributors for the cities of Guadalajara and Monterrey.

  1. Trade buyers, every Monday: Nearby places looks for cafes, bakeries and hotels within a 30-minute drive of the roastery, independents only, with phone or website.
  2. Only new drops the places sent in earlier weeks, and xMap LLM scores each as a coffee buyer, writing a reason.
  3. The top 15 go to the van sales rep by email.
  4. Partners, once: Nearby places finds coffee wholesalers and food distributors in Guadalajara and Monterrey; xMap LLM scores each as a partner; the best ten go to the founder in a sheet in Google Sheets.

In this invented first Monday the rep gets 15 cafes and small hotels, eight of them within ten minutes of an existing customer. The partner search finds 34 candidates across the two cities; after reading the scores and the websites, the founder writes to five.

Mistakes to avoid

  • Prospecting too far from your routes. A good buyer in the wrong place can lose you money on every drop.
  • Pitching chain branches for local supply. Ask who buys for the brand instead.
  • Choosing a distributor on size alone. A large distributor with your competitor's brand already may not push yours.
  • Sending the same old list. A wholesale list goes stale as shops open and close; refresh it weekly and drop closed places.

How to do it with an AI employee

Ready templates cover both lists: Cafes and hotels for my bakery's wholesale and Gift shops and home stores to stock my products for trade buyers; Find distributors in a new country and Industrial distributors in a new country for partners; New warehouses and distributors to sell to if warehouses are your customers. A trade-buyer flow, in order:

  1. Schedule weekly, and Travel area around your depot.
  2. Nearby places for your buyer types, independents only.
  3. Only new, then Match with my table to skip existing customers.
  4. xMap LLM to score and give a reason, Sort and limit for the best ones.
  5. Email to the rep, with a map, or Route planner to order the visits.

What lands in the inbox each week is a short list of new trade buyers near your routes, best first, each with a reason and a phone number, and a map showing them beside your current drops.

Questions

What types of business should a wholesaler target?

The ones that resell or use what you supply. Start with the types your best current customers belong to, and search those first.

How do I find distributors in a new country?

Search wholesalers and distributors in that country's main cities, score them as partners from what their listings and websites show, and contact the few best.

Should I include chain stores in a wholesale list?

Usually not for local selling. Chain branches buy through head office, which is a separate conversation.

How often should a wholesale prospect list be refreshed?

Weekly works for most. New places open every week, and Only new keeps each refresh to what you have not seen.
