How recruiters find companies hiring nearby, before other agencies call
Agencies win mandates by calling first. How to turn public job postings near you into a morning list of employers, with the hiring manager and a note on each role.
Recruiters find companies hiring nearby by watching public job postings for the roles they fill, in the places they cover, every morning, and calling the employer the same day the role appears. The agency that speaks to the hiring manager while the posting is a day old usually gets the brief; the one that calls a fortnight later is told the role is covered. The job is to see postings early, keep one line per employer, judge which roles are worth a call, and reach the person who owns the hire.
This is for staffing agencies, executive search firms and in-house teams that place candidates with outside employers. It covers how the business really works, which postings are worth a call, a morning AI employee that builds the list, and the mistakes that put an agency's name on the wrong desk.
How an agency actually wins business
Most agency revenue comes from employers who already have an open role and decide, within days, whether to fill it themselves or hand it to someone. A public posting is the clearest sign that the decision is open. The questions a consultant asks every morning are simple: who started hiring for roles we fill, in our patch, since yesterday? Which of those are worth a call? Who at that company owns the hire? And what can I say in the first sentence that shows I read their posting?
Specialist desks ask narrower versions. A logistics desk in Johannesburg wants warehouse supervisors and forklift operators within 25 km of its office. A technology desk in Singapore wants engineering leads anywhere on the island. An executive search firm in Sao Paulo wants finance directors, and cares more about the company than about the distance.
Postings worth a call
- Fresh ones. A posting from the last 24 hours is a conversation; one from last month is usually a closed door. The Job postings block can keep postings from the last hour up to the last 30 days, or a custom window.
- Several roles at once. An employer posting many similar roles is building a team or opening a site, which is where agencies are most useful. Switch off One posting per company to keep every posting, then count them per employer.
- Roles that are hard to fill. Senior, specialist or urgent roles are where an employer gives up on doing it alone. With Get full details on, each posting brings its seniority, job type, industry, the number of applicants and the description.
- Close enough to serve. The Within setting keeps postings within 10, 25, 50 or 100 km of the place searched, and each gets distance_km.
The morning AI employee
Here is the flow for a made-up logistics desk in Johannesburg:
- Schedule: every weekday at 06:45.
- Job postings: keywords "warehouse supervisor, forklift operator, logistics coordinator", location Johannesburg, within 25 km, posted in the last 24 hours, up to 100 postings.
- Only new: a posting seen yesterday does not come back today.
- xMap LLM: "Read the description. Score 0 to 100 how likely this employer is to use an agency for this role, and say why in one sentence. Note if the posting comes from an agency." The model reads each description in full, up to 3,000 characters.
- Filter: fit score 70 or more.
- Apollo, on your own Apollo account: the operations manager or head of people at each employer, with a work email when there is one.
- Email to the desk once per run, or a Slack channel the consultants read.
What lands at 07:00 is a short list: each employer once, the role, how long it has been up, the distance from the office, the contact's name and title, and a sentence on why it is worth a call. A consultant can be on the phone by eight.
From the list to the first message
Some desks call; others write first. If you write, the Outreach block can send a short note and up to two follow-ups to each contact, and holds every first message until a consultant approves it. The note can be drafted by the same xMap LLM step, from the posting itself. When the hiring manager replies, the follow-ups stop and the reply goes to the consultant. The template write to companies hiring, with two follow-ups is set up this way. For how approval works, see outreach that waits for your approval.
Variations by desk
- Volume desks (warehouses, retail, hospitality): keep every posting, count roles per employer, and sort by the count. An employer with eight openings is your best call. See companies hiring in bulk this week and warehouses hiring before peak season.
- Specialist desks: precise job titles, a wider radius, full details on, and a stricter score.
- New-site watch: new warehouses, stores and hotels need staff before they open. A Nearby places search for recent openings of those kinds finds employers before their postings appear.
Mistakes that cost the mandate
- Searching too wide. A posting 80 km away is a call you cannot serve. Set Within.
- Calling reception. Without a named contact, the call ends at the front desk. Add the hiring manager or head of people first.
- Generic openers. "We have great candidates" is what every agency says. Mention the role, the site or the shift.
- Chasing other agencies' postings. Have the AI flag them so consultants do not pitch to a competitor.
- Sending the same employer daily. Keep Only new in the flow; a role reposted with a new date can still come back, so check the reason line.
The ready-made new companies hiring, daily template is the simplest start: answer the job titles and the city and it runs. The recruiting and staffing page lists more, and hiring signals explains why a posting is a sales signal for others too.
Questions
Which job sites does the block read?
Job postings reads public job postings live, by keywords and location. Each posting comes with the company, the role, the place, when it was posted and links, and with full details its seniority, job type and description.
Can I keep every posting from the same company?
Yes. Switch off One posting per company. That is useful for volume hiring and for senior roles that agencies post on behalf of employers.
How do I find the hiring manager?
Add the Apollo block, connected to your own Apollo account, and pick the job titles to look for at each employer, such as head of people or operations manager.
How fresh are the postings?
As fresh as you ask for: the Posted setting goes from the last hour to the last 30 days, or a custom number of minutes, hours or days.
