The tutoring school that answers parents at midnight
Nisha owns a small English tutoring school in Colombo, with three branches across the city.
Listen to the story:
The challenge
Parents ask the same things every night: which class fits a ten year old, what it costs, which branch is closest. She answers from her phone until midnight. The ones she reaches at breakfast have often signed up somewhere else.
How the flow works
With xMap Flows, Nisha built Compass. Compass is an AI employee: a flow of 5 blocks.
When a parent writes on her website,
Chat on her website (Chat)
Compass answers in her own warm words,
Answer like Nisha (AI agent)
checks her classes, fees and branches,
Classes, fees, branches (My data)
logs every parent who wants a trial,
Log the enquiry (Google Sheets)
and replies right there in the chat.
Answer in the chat (Reply)
What it solves
- Same questions nightly: solved by AI agent and My data
- Up until midnight: solved by Chat and Reply
- Parents go elsewhere: solved by Google Sheets
The result
Last week Compass answered one hundred and forty parents, most of them after nine at night. Thirty one booked a free trial class. Nisha now spends her evenings with her own children.
Nisha still answers every parent. She just stopped doing it at midnight.
An illustrative scenario: the figures are modelled to show what the flow produces, not a customer's results.
The flow, block by block
- 1
Chat on her website
Starts the flow when someone writes in its chat: the chat window in the editor, or a chat page you can share or put on your website.
- 2
Answer like Nisha
An AI agent: for each incoming message it thinks, uses the blocks you link to its Tools port (data, xMap AI, lookups, your tables, other flows, apps), remembers the conversation and writes an answer in {{reply}}.
- 3
Classes, fees, branches
Brings in a table you uploaded or a list you saved on the My data page: your stores, customers, target accounts or sites.
- 4
- 5
Answer in the chat
Answers whoever started the flow, on the same channel: the app or system that called its Webhook / API gets the answer back, and a message from Slack, WhatsApp, Telegram, Teams, SMS, Outlook or Discord gets a reply in the same chat, through the account of the block that received it.
