A reading tutor down the street, for every new child
Maya is the only coordinator at a small reading charity in Atlanta. She pairs children with volunteer tutors.
Listen to the story:
The challenge
New families sign up on a form, and she matches each one by hand with a map and a spreadsheet. It takes her a week. By then, some families have stopped answering, and a few volunteers quit, never matched at all.
How the flow works
With xMap Flows, Maya built Harbor. Harbor is an AI employee: a flow of 6 blocks.
When a new family signs up,
New family signs up (New rows)
Harbor finds the nearest free volunteer,
Nearest volunteer (Find nearest)
writes them a warm introduction,
A warm introduction (xMap LLM)
sends it to both,
Introduce them (Gmail)
waits three days,
Three days (Wait)
and checks that the first lesson happened.
Check in (Gmail)
What it solves
- A week to match: solved by Find nearest and xMap LLM
- Families go quiet: solved by New rows and Gmail
- Volunteers left idle: solved by Wait and Gmail
The result
A grandmother in Decatur signed up at nine on Tuesday. By ten she had an email from a retired teacher four minutes away. Every new family now hears the same day, and seventy children started reading this autumn.
Maya used to match children with tutors. Now she gets to watch them read.
An illustrative scenario: the figures are modelled to show what the flow produces, not a customer's results.
The flow, block by block
- 1
New family signs up
Starts the flow when new rows appear in a Google Sheet or in a table in My data.
- 2
Nearest volunteer
For each place, finds the nearest of your own points from a CSV you upload, for example the nearest ambulance to each accident or the nearest branch to each new lead, and adds its name and the distance.
- 3
- 4
- 5
Three days
Holds the items for a while, then lets them carry on: a reminder two days after the first email, or nothing sent before 9 in the morning.
- 6
