How to get a list of new leads in your inbox every morning

Set up an AI employee that searches your area before you wake, keeps only businesses it has not sent you before, ranks them and emails a short list with a map.

To get fresh leads every morning, give one AI employee a fixed job: at the same hour each day it searches the places you sell into, throws away every business it has already shown you, ranks what is left against your ideal customer and emails you the top few with a map. In xMap Flows that is one flow of six or seven blocks, set up once. The hard part is not the automation; it is choosing an area, a kind of business and a frequency that give you a list worth opening.

This guide is for sales reps, owners and agencies who prospect local businesses. It covers what belongs in a good morning list, how to work out how many new leads to expect before you build anything, the flow step by step, how to keep the list short, and the habits that make people stop reading it.

What a useful morning list contains

A list you act on in five minutes has fewer columns than you think. For each business: its name and kind, the address and distance from you, a phone number or website, its rating and how many reviews it has, the day it was first found, and one line on why it fits. That last line matters most. A score of 82 means nothing on its own; a sentence such as "independent clinic, opened this spring, no online booking" tells you what to say on the call.

Everything else, from the opening date to the brand, can stay in the attached CSV and on the map for when you need it.

How many new leads to expect

Before choosing a daily list, do some arithmetic with the market's own numbers. xMap's market pages count businesses within 10 km of a city centre, then work out from the few hundred nearest the centre how many of those opened in the twelve months before November 2026:

MarketListedNearest countedOpened in the last yearRoughly a month
Dentists in Toronto830460423 to 4
Beauty salons in Toronto838415312 to 3
Dentists in London6384627under 1
Bakeries in Sydney507370141

xMap's places database, within 10 km of each city centre, November 2026. Openings are counted among the nearest the centre only; the last column is that yearly figure divided by twelve.

A dental supplier in Toronto should expect three or four brand-new practices a month among the 460 dentists nearest the centre alone. The whole circle lists 830, so a few more open further out, but the order of magnitude stays the same: a handful a month, not one a day. A daily email about new openings alone would arrive empty on most days, and an empty email every day trains you to ignore it. So either widen the net (more kinds of business, a bigger area, or every business in a district you have not worked yet) or run the flow weekly. Pick the frequency that gives you something to do each time it lands.

Building the flow

  1. Schedule: every day (or every Monday) at 06:30 in your time zone, so the email is waiting when you start.
  2. Area of interest: your city, a few districts, or a shape you draw around your territory.
  3. Nearby places: the kinds of business you sell to. Set Opened to the last 6 or 12 months for new openings, switch on Only places with a phone or website, and choose chains, independents or both.
  4. Only new: lets through only businesses this flow has never found, and stamps each with first_seen.
  5. Match with my table: compares each lead with your customer list in My data and keeps only the ones you do not serve yet.
  6. xMap LLM: describe your best customer in a sentence or two; it adds a fit score from 0 to 100 and a reason.
  7. Sort and limit: highest score first, keep 10.
  8. Email, once per run, plus Show on a map.

Press Run once to see a real list straight away, then Deploy. From then on the email arrives on its own, and the AI employee's card on the Flows page shows what it found this week.

Keeping the list short

The commonest complaint about automated lead lists is that they are too long to read. Three settings fix most of it. Keep only places with a phone or website, because you cannot reach the others anyway. Ask the AI for a score and filter at 75 or more with a Filter block, so weak fits never reach you. And cap the email at ten with Sort and limit; the rest still go into the attached file if you want them.

Where else the list can go

Email suits one person. A team usually wants the same list somewhere shared: a Slack channel, a Google Sheets tab that grows by a row per lead, or WhatsApp to a rep in the field. These are app blocks that sit beside the Email block, so the same run can feed all of them. If you want the AI employee to write to each lead as well, add Outreach at the end; see outreach that waits for your approval.

Habits that kill a morning list

  • The same leads again and again. Without Only new, yesterday's businesses come back today. Leave it in.
  • No reason given. A bare list of names gets skimmed and closed. Keep the one-line reason.
  • A flow nobody owns. If a list goes to a shared inbox with no name on it, nobody calls. Send it to the person who will act on it.
  • Never tuning it. After two weeks, read what you skipped and tighten the scoring instruction or the kinds of business.
  • Counting on the area's centre only. A large city searched from its middle misses the edges. Switch on Cover the whole area in Nearby places for wide cities.

Several templates already do this: new places every morning, only new, a morning call list with decision makers and call notes, and prospects not yet in your CRM. Open one, answer its two questions (the city and the kind of place) and it runs.

Questions

What time does the list arrive?

When you set the Schedule block, in your own time zone. Live flows start within a few minutes of that time, so 06:30 means the email is there before most people start work.

Will I see the same business twice?

No, as long as Only new is in the flow. It remembers everything this flow found on real runs and lets through only what it has not seen.

How do I skip my existing customers?

Upload your customer list to My data and add Match with my table, set to keep only the items not found. Matching can use the name, the phone number or the website.

What if no new businesses opened today?

With only new openings in a quiet market, many days will be empty. Widen the kinds of business or the area, or run it weekly so each email has something in it.

Put it to work

An AI employee in xMap Flows does this on live data, on its own timetable. Start from a template or describe it in plain words.
