How AI employees report their week, and how to read it
Each AI employee gets a weekly report card: what it found against last week, the strong fits, an estimate of hours saved. How to read it and act on it each Monday.
Every AI employee that works on its own in xMap Flows keeps a report card for the week: how many results it found, how many of them were strong fits, an estimate of the hours it saved, and what it used, each set against the week before. You see the card on the employee's card on the Flows page and in its panel, and on Mondays one email gathers the cards of every employee you own, with a link to a short review where you decide what happens to each.
This article explains what each line of the card means, how to read a week that went up or down, what the Monday email and review add, and how to get a written weekly brief on top of the numbers.
What is on the card
| Line | What it counts | How to read it |
|---|---|---|
| Found | Results it found this week, against last week | The basic sign of life. Zero for a watcher can be good news; zero for a prospecting employee is a question. |
| Strong fits | Found results an AI step scored 75 or more | Only for employees that score. The share of strong fits says more than the total. |
| Hours saved | An estimate, from the runs that found something | Always an estimate of the time a person would have spent doing the same search by hand, never a measured figure. |
| What it used | Its credits this week | Read against what it found: a steady cost with fewer finds is worth a look. |
The weekly report card of an AI employee in xMap Flows.
The card counts only results the employee found, not what your team did with them: there are no deal values or follow-up statuses in xMap Flows, and the employee does not learn from which results people act on.
Reading a week that went up or down
A number on its own means little. The useful question is why it moved. The figures in these cases are made up.
Found dropped from 40 to 12
Check three things in order. Did a run fail? A failed run leaves a gap and an urgent note in the Team inbox. Did someone narrow its settings, such as a higher minimum rating or one city instead of three? Its version history says what changed. Or did the world go quiet? An Opening watcher for hotels in Cape Town should find fewer in a week with no openings, and that is the right answer.
Found doubled, strong fits stayed flat
More of the same quality is fine; more results with the same number of strong fits usually means the search widened and pulled in weaker places. Look at what the new ones have in common and tighten the filter or the scoring instructions.
Hours saved went up, nothing else did
The estimate grows with the number of runs that found something. More runs on a tighter timetable raise it even if each finds little. Read hours saved as a rough sense of scale, not as a target.
The Monday email
On Mondays you get one email with the week against the one before and a report card for each AI employee you own, up to the first several. It also links to the weekly review. Switch it off in Settings, Notifications, under Monday email and tips; the cards stay on the Flows page either way. The other regular email is the daily summary, sent around 08:00 in your own time zone, which lists only what is new since the day before.
The weekly review: one decision per employee
The review shows one card at a time for each employee that works on its own or has finished, with what it found against last week, what it cost this week and this month, and how much of its monthly budget it has used. Each card asks for one decision:
- Keep: it is doing its job.
- Raise its budget: by half, and if its budget had paused it, it starts again.
- Change it: Ask xMap opens with the employee, ready for you to say what to change.
- Let it go: it is paused, with Undo straight after.
You can go back and forth, stop half way and pick up later, or skip the week. Raising a budget or letting an employee go is for its owner or an admin. Your decisions are remembered for the week.
A made-up Monday
A retail chain's expansion lead in Mexico City owns four employees. On Monday her email shows the Rival watcher found seven new branches of the main competitor, up from two; the Opening watcher for pharmacies found 31 against 29, with 4 strong fits; the Road watcher found nothing new; and the Market scout found 15 blocks with many residents and few stores, unchanged. In the review she keeps three, and on the Road watcher presses Change it and asks it to watch two more depots. Three minutes, and the week's decisions are made.
When you want words, not just numbers
The card tells you how much each employee found. To hear what it means across all of them, add a weekly brief employee, the Market analyst. It reads what your other employees found this period against the one before, through the Team findings block, picks the moves that matter (openings by city, a rival's new branches near your own sites, closures, strong fits), and has xMap LLM write them up without adding any number of its own. Make a report turns it into a PDF.
- Hire the weekly brief from your AI employees template, or for store networks the monthly brief on your store network.
- Let it run on Mondays, after the others have had a week.
- Read its note in its Team inbox thread, or the PDF it sends.
- Reply in its thread to ask about a finding, or to have it watch something new.
